Privacy Policy

How the Club collects, uses and protects your personal data.

Last updated: 31 October 2026

Sri Mulam Club ("the Club", "we") respects your privacy. This policy explains what personal data we collect through this website, the members' area (My Club) and our booking and billing system, why we use it and the choices you have. It is written with India's Digital Personal Data Protection Act, 2023 in mind.

1. What we collect

  • Identity and contact: name, membership number, mobile number, e-mail address and, for room guests, the details and ID required by law.
  • Bookings and orders: rooms, halls, facilities and food you book or order, dates, number of guests and special requests.
  • Billing: subscriptions, bills, payments, balances and invoices on your account.
  • Payments: payment status and reference numbers. Card, net-banking and UPI details are handled by our payment gateway partner and are never stored by the Club.
  • Technical: basic information needed to keep you signed in to My Club and to keep the site secure.

2. Why we use it

  • To confirm and manage your bookings, orders and stay.
  • To bill subscriptions and charges, record payments and issue GST invoices.
  • To let members sign in to My Club and see their bookings and balance.
  • To send service messages and Club notices (see below).
  • To meet legal duties, such as tax records and guest registration.

3. WhatsApp and other messages

We send messages on WhatsApp, SMS or e-mail for sign-in codes, booking confirmations and reminders, bills and receipts, and Club notices such as function alerts and the day's menu. You can reply STOP to Club notices on WhatsApp at any time; service messages about your own bookings and bills will continue.

4. Where your data is kept

The Club's booking, membership and accounting data is kept on secure cloud servers operated for the Club by its software provider, Innloop Technologies, which processes the data only on the Club's instructions. Access within the Club is limited to authorised office bearers and staff who need it for their work.

5. Who we share it with

  • Our payment gateway partner, to process your payments and refunds.
  • Our software provider (Innloop Technologies) and messaging providers, only to run the services above.
  • Government authorities, auditors or others where the law requires it.

We do not sell your personal data or share it for advertising.

6. How long we keep it

We keep membership and account records for as long as you are a member and afterwards for the period required by tax, accounting and other laws. Booking and guest records are kept for the periods required by law and then deleted or anonymised.

7. Your rights

  • Ask what personal data we hold about you and how it is used.
  • Ask us to correct or update inaccurate details.
  • Ask us to erase data we no longer need, where the law allows (some records must be kept for tax and accounting).
  • Withdraw consent for optional messages, such as Club notices.
  • Raise a grievance with us, and if not resolved, with the Data Protection Board of India.

8. Grievance contact

Please write to the Hon. Secretary, Sri Mulam Club at srimulamclub@gmail.com or to the Club office at CV Raman Pillai Rd, Vazhuthacaud, Thiruvananthapuram, Kerala 695010. We aim to respond within 30 days.

9. Cookies

This website uses only the small amount of browser storage needed to keep members signed in and to make booking forms work. We do not use advertising or tracking cookies.

10. Changes to this policy

We may update this policy from time to time. The latest version is always on this page.
